Checklist at‑a‑glance
Follow this checklist to prevent delays, avoid extra fees, and protect your vehicle during transport. Key steps include gathering required documents, photographing the vehicle’s condition, securing loose parts, and confirming insurance.
Documents & booking
Confirm carrier credentials: FMCSA/MC number and insurance details; keep the carrier’s phone number and booking reference handy.
Prepare paperwork: Title or notarized power of attorney, photo ID, bill of sale (if applicable), and any export/import documents.
Get written quote and terms: Verify pickup/delivery windows, cancellation policy, and any extra fees.
Vehicle condition & security
Wash the vehicle: So, scratches and dents are visible; take timestamped photos of all sides, interior, odometer, and existing damage.
Remove all personal items: Carriers are not responsible for loose belongings. Empty the trunk and glovebox.
Disable alarms and toll tags: Remove garage openers and toll transponders to avoid accidental charges.
Secure or remove loose parts: Antennas, bike racks, spoilers, and aftermarket trim. Tape fragile trim if removal isn’t possible.
Mechanical & fuel
Check fluids and battery: top off coolant and oil; ensure battery is charged and terminals are clean.
Fuel level: leave about 1/4 tank or less, enough to move the vehicle on/off the truck but light for safety.
Tire pressure: inflate to recommended PSI; note any leaks or spare‑tire issues.
Day of pickup
Be present with ID and paperwork: Walk the vehicle with the driver and sign the Bill of Lading only after noting all pre‑existing damage.
Record pickup time and carrier name: Request estimated delivery window and tracking updates.
On delivery
Inspect vehicle in daylight: Before signing release, compared to your photos and the original Bill of Lading. Note any new damage in writing and take photos immediately.
